THE HIRER MUST
- Be over 18 years of age to book the facility and sign the Terms and Conditions.
- State precisely the type of activity to take place in the facility.
- Ensure all details provided on the booking form are accurate, truthful & current.
- Under no circumstances enter any areas other than the section hired.
- Adhere strictly to the hiring hours. All hirers should take into account set up and cleaning time before making a booking.
- Be responsible for the conduct of any visitor/ guest either invited or otherwise during the hire period and ensure the attendance at the event does not exceed the maximum capacity of the facility. The cost of any damage caused by any person during the function will be charged to you as the hirer.
- Ensure that guests leave the facility in an orderly manner with respect to surrounding neighbors. The hirer will be responsible for any damage or inconvenience to any residents during the function and/ or when leaving the premises and will be charged accordingly.
- Ensure the event does not exceed the maximum capacity of the facility (150).
- The cost of any damage caused by any person during the function will be charged to you as the hirer.
- The hirer will be responsible for any damage or inconvenience to any residents during the function and/ or when leaving the premises and will be charged accordingly.
- Be responsible for the noise level of the activity.
- Be responsible for the provision and consumption of alcohol while at the facility - an alcohol permit must also be obtained from the police with a copy given to the booking officer prior.
- Notify Police immediately if there is any threat of trouble.
- Report any accidents or near accidents to the Booking Officer upon return of your key or as soon as possible.
- Ensure the Farm is clean and locked when function is finished.
- Ensure all buildings and enclosed areas are smoke free zones including the Barn.
- Ensure no pets or animals are on premises except with the approval of the management committee.
- Arrange a person to assume responsibility on behalf of the hirer in their absence.
BOND
- Bond (per fees & charges) based on risk factor as determined by committee payable in full within 1O days of booking being accepted & approved.
- Bookings are held for 1O days from date of approval then cancelled if bond is not paid.
- All costs for cleaning, repairs, replacement required after your booking will be deducted from your security bond plus 1O%.

- The Hirer is responsible for any & all damage and/or costs resulting from a function. The Hirer is liable for 11O% of all losses, repairs & remediation resulting from a booking regardless of the amount of bond paid.
SECURITY STAFF
- All private events/functions deemed high risk by the Management Committee will require the provision of Event Security.
- The Management Committee will appoint a security firm to provide event security for your event at your cost at the published rate.
- The management committee will determine the risk level of your event based on a range of factors including but not limited to :
- Event/function type
- Alcohol Served/Supplied
- Guest numbers
- Other information & intelligence
- Event Security will act under the direction of the Management Committee and are authorised to suspend any function and close the Camden Town Farm.
- Hirers and all patrons are required to follow the directions and instructions of Event Security Staff.
ALCOHOL
- The Hirer MUST have approval for the Consumption of Alcohol prior to formal agreement for hire can be completed.
- If you are selling alcohol you must obtain a "limited licence - single function". This is done through the Office of Liquor Gaming and Racing and must be lodged at least 28 days prior to the event. Application can be completed online. (Limited licence - single function - Liquor & Gaming NSW)
- Supply and/or permitted consumption of alcohol to underage patrons is strictly prohibited and evidence of such will result in 100% bond forfeiture and Police will be notified.
SAFE PARTY NOTIFICATION
- A 'Party Safety Registration Notification' (https://www.police.nsw.gov.au/online_services/party_safety/party_registration) is required for ALL bookings.
- The notification form needs to be completed at least 4 weeks prior to your event.
TOILETS
- Toilets must be cleaned at completion of your event.
RUBBISH
- Rubbish bins are supplied for all Category B & Category C functions.
- Failure to manage rubbish for your event will incur a cleaning fee in excess of $500 subtracted from your security bond.
LIGHTING & TEMPORARY STRUCTURES
- Flood lighting is available and the operation will be explained on the onsite inspection.
- Temporary structures including stages, tents, marquees or booths must be erected in accordance with the general requirements and development standards identified under the State Environmental Planning Policy (Exempt and Complying Development Codes) 2008 Part 2, Division 3 Temporary Uses and Structures Exempt Development Code.
- Any temporary structures that do not comply with the above criteria must be subject to a separate development application.
NOISE MANAGEMENT
- Sound amplification and use of such equipment must cease by 10pm.
- All sound amplification devices must be connected to the Town Farm noise control device.
- Bypassing or interfering with the Town Farm noise control device will result in the event being suspended by onsite security and the bond forfeited.
- Music and other amplified sound, including recorded or broadcast programmes or the like, played on the premises, shall be controlled so as not to cause any distraction or disturbance to nearby or adjacent residents, pedestrians or motorists, and shall only be audible within the property boundaries.
- Where speakers are required for any event, they must be orientated to face a northwest direction.
WEDDING PHOTOS
- Only some areas of the Camden Town Farm are open to the public. Wedding photo's should only be taken within the area that you have booked or defined public access areas.
PARKING
- Only essential vehicles to enter the complex area. Parking is on John Street, not the function or event area.
- Vehicles should not obstruct access to driveways or restrict parking in the street.
- Please use the car park provided.
CLEANING
- The grounds and buildings are to be left clean for the next day or a given time subject to next day hire.
- ALL facilities must be cleaned to the standard in which you found them.
- Failure to properly clean after your event will incur a cleaning fee in as per fees & charges subtracted from your bond.
NOISE & SURROUNDING RESIDENTS
- The facility is located in a residential area therefore it is expected that the surrounding residents be respected.
- The hirer is responsible for the preservation of good order during and following the hire of the facility.
- Vehicles should not obstruct access to driveways or restrict parking in the street. Please use the car park provided.
- All music and noise levels must be kept at an acceptable level and music must cease at 10:00pm Friday & Saturday & 6pm all other days.
DECORATIONS
- Decorations are welcome at the facility however they should be secured.
- Helium balloons are permitted. A minimum $50 charge will be deducted from the hirers bond, or added to their invoice, if balloons are required to be removed from the facility.
- Streamers and balloons must not be hung from any heritage building.
- NO smoke machines are allowed.
- Throwing of confetti, glitters, sprays, poppers or rice is not permitted.
NO SMOKING
- Camden Council has adopted a non-smoking policy to restrict fire safety hazard and overcome hazards of passive smoking. As such, no smoking is permitted inside any building or structure at the Camden Town Farm
CAMDEN PRODUCE MARKETS
- Hirers are to be aware that the Camden Produce Markets occupy the Market/Dairy paddock within Venue 2 and the driveway from Venue 1 every Saturday from 6am until 1pm.
- No structures, fittings, decorations are to be installed in this area prior to the markets completing.
PROHIBITED ACTIVITIES
The following activities are expressly prohibited:
- Fireworks
- Landing of Helicopters
- Breach of these conditions will result in 100% forfeiture of security bond.
CANCELLATION & AMENDMENTS to BOOKINGS
All cancellations and requests for amendments to bookings must be made in writing to the Camden Town Farm email
Bookings are not transferable.
- Cancellations before 60 days prior to the booking date result in 100% refund of deposit
- Cancellations within 60 days prior to the booking date result in 50% refund of deposit.
- Cancellations within 30 days prior to the booking date result in forfeit of deposit.
- Committee may consider refunds outside the above rules in extenuating circumstances.
